How to connect WhatsApp to GoHighLevel (step by step)
Connect WhatsApp or WhatsApp Business to a GoHighLevel sub-account in about five minutes with SapiensGo — no WhatsApp API approval, no per-message fees.
Connecting WhatsApp to GoHighLevel takes about five minutes with SapiensGo: you link your own WhatsApp or WhatsApp Business number by scanning a QR code, set SapiensGo as the provider for the sub-account, and your GoHighLevel workflows can send WhatsApp messages right away. No WhatsApp Business API application, no message templates to get approved, and no per-message fees.
What you need before you start
- A SapiensGo account (the free plan is enough to test).
- A GoHighLevel sub-account you can administer.
- A phone with WhatsApp or WhatsApp Business installed, using the number you want to send from.
Step-by-step: connect WhatsApp to a sub-account
- Open the WhatsApp integration in SapiensGo. Click Create to add a GoHighLevel sub-account — a new tab opens.
- Continue to the connect screen. In the opened tab, scroll down and click Next. If another tab opened without the connect screen, switch back to the first tab.
- Select the correct GoHighLevel sub-account — not your agency — click Next, then choose WhatsApp.
- Pair your number. On the numbers screen, select an existing WhatsApp number or click Pair your device and scan the QR code from WhatsApp on your phone: Settings → Linked devices → Link a device.
- Wait for confirmation. A new row shows your sub-account and WhatsApp number as linked in SapiensGo.
- Set SapiensGo as the provider for that sub-account in GoHighLevel.
- Send your first message. In GoHighLevel, WhatsApp messages go out through the SMS channel in Conversations and the SMS action in Workflows — your existing automations keep working, the messages simply arrive on WhatsApp.
How this compares to the official WhatsApp Business API
GoHighLevel's native WhatsApp option goes through the WhatsApp Business API, which typically involves Meta business verification, pre-approved message templates for business-initiated conversations, and per-conversation fees on top of your GoHighLevel plan. That route makes sense for high-volume, template-driven notification traffic.
SapiensGo takes the other route: it connects the WhatsApp account you already have, the same way WhatsApp Web does. You keep your number, your chat history stays on your phone, conversations are free-form, and there are no per-message fees — plans are flat (see pricing). This fits agencies that want real conversations with leads and clients rather than template broadcasts.
Managing WhatsApp across many sub-accounts
Each sub-account gets its own WhatsApp connection, and every connection is visible from one SapiensGo dashboard. Active connection limits per messaging app depend on your plan — 1 on Free, 5 on Pro, and 50 on Max — so an agency can wire up client sub-accounts progressively and upgrade as it scales.
Troubleshooting
- The QR code expired — refresh the numbers screen and scan again; WhatsApp QR codes rotate quickly.
- The wrong account is selected — make sure you selected the sub-account, not your agency, in step 3.
- Messages don't go out from a workflow — check that SapiensGo is set as the provider for that specific sub-account, and that the workflow uses the SMS action.
